What information we collect
Account information: contact name, company name, email address, telephone number, billing address, optional company number, optional VAT number and the main type of goods handled.
Shipment information: the details you submit in a shipment request, including package counts, dimensions, weights, goods descriptions, values, countries of origin and destination, freight-forwarder details, handling instructions and restricted-goods declarations.
Documents: files you upload to a shipment, together with the document type, reference, description, version history and the account that uploaded each version.
Messages and notes you send to us through a shipment message thread.
Billing records: invoices, payment status and payment records.
Why we collect it
To assess whether a shipment is suitable, to handle and prepare goods according to your written instructions, to keep an accurate record of what arrived and its visible condition, to prepare documents for collection, to invoice you and to meet our legal obligations.
Who can access it
Users signed in to your company account, and authorised Waystation administrators. Access rules on our systems prevent customers from seeing another customer’s information, documents or internal notes. Documents are stored privately and are not published at public links.
When information may be shared
Information may be shared with your nominated freight forwarder or carrier where that is required to complete a collection you have instructed, and with authorities where we are legally required to do so. We use service providers for hosting, secure file storage and invoicing, who process information on our instructions.
How long we keep it
Retention period to be confirmed before public launch.
Your data rights
You may request access to the information we hold about you, ask us to correct inaccurate information, request deletion where we are not required to keep it, object to or restrict certain processing, and request a copy of information you provided to us. To exercise any of these rights, email info@waystation.co.uk. You also have the right to complain to the UK Information Commissioner’s Office.
Uploading documents
Only upload documents required to process your shipment. Do not upload passwords, card details or unnecessary personal information.
